Improve your customer experience by sending SMS confirmations and reminders to your invitees.


Step 1 - Create a new Zap


After you log into Zapier, click on ‘Make a Zap!’ a the top of your Zapier dashboard



Step 2 - Choose a Trigger App


Select Calendly as the trigger app, and select ‘Invitee Created’ as the trigger.


Step 3 - Connect your Calendly account to Zapier


Go to your Calendly account and click on the Integrations link under your profile settings. Copy your API Key.





Then, go back to Zapier, click on Connect Account, and paste your API key in the pop-up window. Follow the on-screen instructions to finish the connection.


Step 4 - Choose Burst SMS as Action App


On the left-hand side click on ‘Add a Step’, then find and add Burst SMS.



Step 5 - Select Send SMS action



Select ‘Send SMS’ action and then click on the ‘Save + Continue’ button.


If you haven’t done so already, follow the on-screen instructions to connect your Burst SMS account with Zapier. 


Step 6 - Create your SMS message


Create your SMS confirmation message under the ‘Message’ field. 


Use custom variables (the text with a green background) to make the message more personalised and dynamic. You can add them by clicking on the menu button on the top right of the field box. 


Next, add the phone number custom variable in the ‘Recipient Mobile Number’ field.



Note: If you haven’t done so already, make sure that your Calendly form asks for phone numbers. Otherwise, this integration will not work.


Feel free to play around with the other settings before finishing this step.


Step 7 - Create an SMS Reminder (optional)


If you want to create an SMS reminder, then you need to create a brand new Zap. 


All you need to do is repeat steps 1-6, then add a custom variable to the ‘Send At’ field.


For example, let’s say you want to send an SMS reminder an hour before the meeting. Add the ‘Event Start Time’ custom variable, and then add “-1hr” right next to it. Make sure to add a space between the variable and “-1hr” or it will not work.
